An existing CRM is usually sensible when your workflow is fairly standard and your team can work within its rules. A custom build can make sense when the core workflow is unusual, access rules are specific, or several tools need to act as one system. Ask to run a few real, anonymized enquiries through the proposed setup. Test mistakes, returning customers, handoffs, and data export as well as the happy path. Count licenses, setup, integrations, and ongoing support in the total cost.
