A practical answer
Which business processes can be automated?
The best candidates are repeated actions with clear rules: move an enquiry, assign an owner, send a confirmation, create a task, or update a status. When a step needs human judgment, automation should prepare the context and hand it over.
How Lumen automates workflowsStart where time is being lost
Website enquiries can enter a CRM automatically; a booking can trigger a confirmation; a payment can create a team task. These are easier to verify than a vague plan to “automate the whole business.”
- Entering the same data into several tools.
- Updating a customer after a defined event.
- Reminding the team about an unfinished action.
- Handing an enquiry between roles with a visible status.
Design the failure path
What happens when the CRM is unavailable or a record is incomplete? A sound workflow does not silently lose an enquiry. It exposes the error, retains the data for another attempt, and lets a person finish the work manually. Define this before launch.
An example from our work
In the Fishka Mishka Telegram bot, orders flow into KeyCRM. After payment is confirmed, the customer sends a voice greeting. An editor gets a dedicated work topic, and the customer approves the file or asks for changes in the bot. The steps are connected, but payment and audio approval still require actual confirmation.
